Enterprise Content Management

 

Enterprise content management has a specific place in enterprise information flow. Through enterprise content management, structured and semi-structured information in an enterprise are managed under a single roof. In this scope, enterprise content management plays a supporting role for identification of unstructured information of enterprises and the use of this information for enterprise-wide purposes. Enterprise content management systems are composed of a structure for content services. In this context, electronic document management systems, documents management systems, e-mail systems, web pages and portals have an important place.

Each of these systems follows their different content items throughout workflow processes and performs the necessary version/process controls and also ensures content management based on the enterprise-wide arrangements. Five elements are influential on both enterprise and system structures in enterprise content management applications. These elements called as 5C by AIIM constitute the general structure of enterprise content management.

These elements are content, collaboration, compliance, continuity and cost.

Enterprise content management functions as a guiding tool for employees during all workflows included in enterprise-wide operations such as decision-making, planning, designing, producing, marketing and putting into service. This function can generate significant benefits for managers and other elements that contribute to development of enterprise content. These benefits include avoiding duplication of tasks for managers and creating common experience and re-using and finding the content easily for end users. With their all advantages and functions, enterprise content management applications are constantly under the effect of developing technological conditions, which has leaded to changes in definition of enterprise content management and created the need to develop the enterprise content management applications continuously. Web 2.0 technologies, one of the recent developments in this field, have introduced a new aspect to enterprise content management and enabled to create the concept of “Enterprise 2.0” described as new-generation enterprise content management applications and enterprise social software.
